Application configuration
Configuration (the Administration menu in the top bar, administrators only) changes how the whole application works for every user. Each card saves on its own with Confirm change. Other signed-in users are told An administrator changed the application configuration and their menus adapt live.
Features
- Work teams — when disabled, teams and the team restriction options on work items are hidden.
- Customers — when disabled, the Customers area and the customer selectors on work items are hidden.
- Customer link: off by default. When enabled, an administrator can share a customer's work with them from Customer work items: the customer opens a page with their code in the link and their own email address. Show the statement also offers them their charge statement for each month; it lists every task charged that month, whatever its restriction. It needs Customers: while Customers is disabled the link is off for every customer and its switches cannot be changed. Its settings are kept and apply again when Customers is enabled.
- Estimate tracker with its Display mode: Time (hours:minutes), Decimal value or Currency value. Decimal value takes a Units name (points, for example). Currency value means estimates are money in the workspace currency set in Regional settings: amounts show that currency's code, there is no units name, and the card warns you when no currency is set yet.
- Gantt chart — when disabled, the chart leaves the menu and its permission cannot be granted.
- Report designer — on by default. When disabled, Saved reports and the Report builder leave the menu, their addresses no longer open, and the two report permissions cannot be changed. The spent report and the dashboard are not affected.
- Public forms — off for a new workspace. When disabled, Public forms leave the menu, the designer no longer opens, the public forms permission is hidden, and every published form link answers that the form is not available. The forms are kept and come back when you enable it again.
- Optimize images: off by default. When enabled, pictures uploaded from then on are stored smaller to save storage: at most 2560 pixels on the longest side, as WebP, and without metadata such as camera details and location. PNG images (screenshots, logos) are compressed without losing quality, and GIF images are stored as they are. The originals are not kept and cannot be recovered. Images already uploaded do not change. See Files.
Working days
Non-working weekdays (Saturday and Sunday by default), what to do When a due date falls on a non-working day (Do not adjust, Move to next working day, Move to previous working day) and the list of Holidays, each optionally repeating every year. Repeating tasks use these unless a series overrides them.
Notifications
Send notifications by email, under Email notifications, decides whether notifications also reach people by email when they are away from the app. Turned off, nobody in the workspace receives these emails, emails already waiting are not sent, and each person's own switch in My profile is off and locked. Notifications keep arriving in the bell. Invitations and password resets are not notifications and are always sent.
Regional settings
The time zone and currency of your organization, for every user in the workspace.
- Time zone — decides when a day ends for the whole workspace: reminders set on a date, the overdue counts and the start locks follow it. Turn on Use a workspace time zone and pick the Country and Time zone; with it off, the installation default applies. Current time in the workspace previews the choice. Changing it moves the reminders set relative to a date; reminders at a fixed date and time stay where they are. Each person still sees times of day in the zone they chose in My profile.
- Currency — the label shown next to every amount: fees, hourly values, charges and estimates
tracked as a currency value, on screen, in the exports and in the charge statements. It is only a
label: amounts are never converted, so changing it relabels amounts already recorded. Amounts show
the currency's code after the number (
1,234.50 ARS); turn on Show the symbol instead of the code to show its symbol in front instead ($1,234.50). The code tells a client which money a statement is in, which the symbol cannot when several currencies share it, and a symbol the PDF statement cannot print falls back to the code there. No currency label shows amounts as plain numbers. The label is the workspace's, never the viewer's: every user sees the same one, whichever regional format they picked.

Example projects

Export data

Application mode
How the whole workspace organizes work, for every user. There are two modes; until an administrator confirms one, the app runs in Project mode. The mode can be changed at any time, and changing it never deletes anything. When the workspace was created through a link that chose an example project, the first choice starts on Project mode and the option says why: every example is a project, and none can be added while Basic mode is on. The choice is still yours.
Project (full) mode
Work is grouped into projects: Project → Phase → Task → Subtask, with phases and subtasks optional. Each person chooses the project they work in with the active project picker in the top bar.
Opening Work items, or adding a work item, with no project selected shows Select a project. It stays until you pick a project, create one with New project or leave for View all projects: nothing is ever placed in a project you did not choose.
Basic (task) mode
A single shared list of tasks, on a page called Tasks: no projects, phases or subtasks to manage. Internally every task goes into one project, 000.B-TSK, which the app creates the first time Basic mode is turned on and keeps out of sight while the mode is on.
Switching to Basic mode hides the work that lives in any other project. It is not deleted, and it reappears when you switch back.
The 000.B-TSK project in Project mode
Back in Project mode, 000.B-TSK is an ordinary project holding the tasks created in Basic mode. It starts hidden from every user's project list and pickers: whoever wants to work in it opens Projects, then Hidden (n), and chooses Show in my list or Select (see Hiding a project). Its tasks still appear on the board, in reports and in searches.
It can be renamed, archived or deleted like any other project. What you do to it decides what Basic mode finds when it is turned on again:
| In Project mode you… | Turning Basic mode on again… |
|---|---|
| Rename it | Keeps using it: the task list is intact, and only its name changed. |
| Delete it | Starts a new, empty 000.B-TSK. The tasks were deleted with the project. |
| Archive it | Starts a new, empty list, named 000.B-TSK_1 while the archived project keeps the name. The archived tasks stay where they are until an administrator unarchives that project in Project mode. |
| Change its type (possible only while it is empty) | Starts a new, empty 000.B-TSK. |
A new list starts hidden in Project mode too. While Basic mode is on, the project behind the list can be neither deleted nor archived.
Groups
A pointer to Groups and permissions in the main menu.
Registration
Self-registration allowed — people register themselves with your reference code and an optional Registration code (Generate code makes one) — or Invitation-only, where only an administrator creates users. If the deployment cannot send email, both options are shown as unavailable. The first user of a new workspace registers with the registration code received with the workspace, and becomes its administrator.
Branding
The logo and name shown in the top bar: Display logo with Choose logo / Apply logo / Remove logo (the image is cropped to a square), and Display name with the Name to show (empty means the default application name). Changes reach other users on their next load. An image with a transparent background (PNG, WebP or SVG) gives the best result: the logo then sits cleanly on the top bar, the loading screen and the tab icon in both light and dark themes, instead of showing as a box.
Once a logo is set, each person's browser also uses it for the loading screen and the tab icon from their next sign-in onward. A browser that has never signed in, or has signed out since, shows the default mbovy logo. The exceptions are the links in the account emails (confirm your email, set or reset your password) and the public request forms: those name the workspace, so the page they open shows its logo and name — on the loading screen and the tab icon too — before anyone has signed in.
Email service
Email is no longer set up here. It moved to System settings, the area for options that apply to the whole installation rather than to one workspace, and only the system administrator can open it.
