Finding your way around
The side menu
The menu on the left lists the areas you have access to (Work items is called Tasks in Basic mode). Entries you are not allowed to use, or that an administrator has turned off, are simply not shown. The hamburger button collapses the menu to icons; the state is remembered. On a phone or a tablet the button opens the menu over the page instead, and choosing an entry closes it. Setup screens are not in this menu: administrators find them in the Administration menu in the top bar.
The top bar
- The active project picker (not shown in Basic mode) tells you which project your work items list, repeating tasks, Gantt chart and reports start from. Open it to search projects, pick a recent one, create a New project or open the AI companion. See Projects.
- The timer box records the time you spend on a task. With no timer running, search for a task to start it, or choose Add new task to create the task and count from that click. It turns green while it runs. See The timer.
- The Recently visited button lists the last ten pages you opened, newest first, so you can
get back to any of them from wherever you are — including the screens where the side menu is
hidden. Each entry is named the way the page names itself, so a work item list reads as Work
items —
and an open work item as its task number and summary, and carries the same icon the side menu uses for that section. The list is kept in this browser only, for you, and is cleared when you sign out. - The Search box opens the search page for what you typed.
- The sparkle button opens the AI companion's chat panel, shown when you may use the companion and it is not turned off in the workspace.
- The bell shows your notifications: assignments, mentions in comments, changes to items you Follow, configuration changes and, for administrators, new users and password-reset requests. Mark all as read, delete single entries, or Mute pop-up notifications if you do not want toasts. When your installation sends email, some kinds you have not seen also reach your inbox a couple of hours later — an assignment, a mention, a reminder, and (for administrators) a user's first sign-in — and reading the notification, or simply being active in the app, cancels that email.
- Nothing warns you about a date on its own. To be told about a work item — before its due date, when it runs out, or at a time you choose — set a reminder on the item itself. See Notifications and reminders.
- Administrators see the Administration menu with the setup areas; pointing at an area with an arrow shows its pages, and Open Configuration goes to the configuration area itself. The system administrator finds System here.
- Your avatar opens the account menu, where Appearance picks the theme.
- The help icon (?), at the right end of the bar, opens Help and, on screens that have one, Take a tour, which walks you through that screen's controls step by step. Send feedback is there when the installation has a feedback form. The menu ends with the version of the app you are running. It is there before you sign in too.
On a phone or a tablet the bar keeps the menu button, the active project, the bell and your avatar. Search, Recently visited, the timer, the AI companion, the help icon and Administration are at the top of the side menu.
Live updates
The app keeps itself current: lists and boards refresh when someone else changes an item, comments appear as they are written, and if an item you have open is saved by someone else you see a banner offering to reload. That covers everything about the item, not just its fields — its files, links and tags all raise the same banner, and an open file list refreshes on its own. If the item is deleted while you have it open you get a warning saying so instead, with no reload offered: there is nothing left to load, and anything you save will fail. If your permissions change, the screen adapts without a reload.
When the application is updated, a bar appears at the bottom of the screen telling you a new version is available, with Reload now and Later. The page you are on is never reloaded underneath you, so nothing you have typed is lost: choose Reload now when it suits you, or just keep working — the update is applied the next time you move to another screen. Later dismisses the bar for good in that tab.
Language and theme
Language, regional format and time zone are set in My profile. The theme is yours too: under Appearance in the account menu choose Light, Dark or System (follow your device's setting). The choice is saved with your profile.
Before you sign in, the account menu (the person icon in the top bar) offers Language: English or Español. The page reloads in the language you pick, and the browser remembers it.
The welcome page
The first time you sign in you land on a short welcome page. It opens with how to use the application: Take the tour points at each part of the top bar, one at a time, and leaves you on the page. An administrator also reads how the team joins the workspace and sees the Getting started checklist that Home shows too (point at a step to read what to do) and Start from an example, whose See the examples opens the example projects; the tour ends on that card. When the workspace was created through a link that chose an example, the card is Start with the example you chose instead: Add it and open it adds the example and opens it in one click, with the progress shown on the card, and once it is in the workspace the button is Open with its name. While Basic mode is on nothing can be added, and the card says so. Start working takes you to Home. The page appears once. The administrator of a new workspace first chooses its application mode, and the welcome page opens as soon as the choice is confirmed. To read it again, open My profile ▸ Preferences ▸ Welcome page and choose Show the welcome page again.
Help
Help in the help menu (the ? icon in the top bar) opens the topic for the screen you are looking at in a dialog over the app, so nothing you were doing is lost: read, follow a link to another topic (the arrow at the top takes you back), and close it. Open full help at the bottom of the dialog leaves for the whole help site — sidebar, every topic, a page you can bookmark or share. The site opens in the same window, and its top bar shows Return to app, which brings you back to the screen you left. The help pages need no sign-in, so a shared link works for anyone.
Search help, the box at the top of the dialog, looks through every help topic, not only the one for the screen you are on. Type one or more words and choose a result: its topic opens at the section that mentions them, and the arrow at the top takes you back. The same box is in the top bar of the help site. Search compares the words as they are written. It ignores capitals and accents, and a word finds the words that begin with it, so the words the screens use find the most.
Take a tour appears in the same menu on screens that have a walkthrough (Home, My board, the work items list and the work item editor). It highlights one control at a time with a short note; use Next / Back, or close it at any point. A step that points into a collapsed detail panel opens the panel, and the tour collapses it again when it closes. On a phone or a tablet, a step that points into the side menu opens it, and the tour closes it again. Nothing you do in a tour changes your data.
Send feedback opens the installation's feedback form in a new tab, to report a problem or suggest an idea. The app stays open on the screen you were on, so you can look at it while you write. The link tells the form which workspace you came from, by its code, and the language you are using the app in, and nothing else: not your name, not your email, not the screen you were on. Switch language and open the menu again, and the link carries the new one. The entry is only there when the people who run the installation have set a form.
