The work items list

A work item is any unit of work: a Project, a Phase, a Task or a Subtask. Projects are the top level; phases group tasks inside a project (they are optional); tasks belong to a project or a phase; subtasks belong to a task and cannot be broken down further. A placeholder type, Not defined yet, exists for items whose type has not been chosen.

The page

Work items lists the items of your active project; a row opens in the read-only detail panel beside the list, and the divider between the two can be dragged.

With no active project the page first shows Select a project: pick one from the list, create one with New project, or go to View all projects. It cannot be closed without choosing, and projects you hid are not offered.

  • Add new creates a Phase, a Task or a Subtask (projects are created from the Projects page). In Basic mode it creates a task. To enter many items at once, or edit fields without opening each one, use the task grid.
  • The grid button beside the title opens the task grid: the same items of the same project as a spreadsheet. The grid has no menu entry of its own — it is a second view of this page.
  • The pencil on a row, or Edit in the detail panel, opens the full editor. When you may only view the item the button reads View.
  • The alarm-clock button beside Edit sets reminders on the item. Nothing tells you about a date on its own, so this is where you ask to be told.
  • The bell button beside it follows the item: while you Follow it, changes and deletions made by other people show up in your notifications.
  • The Quick edit area of the detail panel saves immediately: status, priority (tasks only), assignee, the estimate tracker (Add spent, Change total spent on tasks and subtasks; read-only on projects and phases) and tags. It is always visible, whatever tab is active below it.
  • Under Quick edit, a tab strip switches the rest of the panel: Details (dates, task type, customer, description — plus a note when you follow the item or it has active reminders, and the From the public form card on a ticket a public form created), Links (related items and links), Attachments (the item's files, in folders; upload and download each need their permission) and History. Uploading and deleting files are recorded on History like any other change, naming the file and the folder it was in. The same strip appears in the full editor, which always opens on its Related work tab.
  • A deep link to an item in another project asks Switch project?.

Columns

A repeat icon on Task # marks a scheduled occurrence of a repeating task; a globe beside the Summary marks a ticket that came through a public form; Priority exists on tasks only; a paper-clip marks items that have files attached (hover it for the count). A lock on the start date means the item cannot start before that date; an hourglass means it is waiting on another item; a warning on the due date means it is later than the project's own due date.

Search and filters

The search box matches the summary, the task number, the assignee's name and the task type. Filters opens a panel with facets for status, priority, type, files (With files keeps only the items that have at least one file attached), task type, customer, assignee (Assigned to me, Unassigned), creator, last modifier, date ranges and tags. Active facets become chips you can remove one by one; Clear all filters resets everything. Filters are remembered per user.

  • With no status selected the list shows everything except Archived. Select Archived explicitly to see archived items.
  • By default the type facet shows tasks and subtasks; add Phase to see phases.
  • View: Flat or Grouped by phase and task. In flat view each item takes one line: a summary that does not fit is cut short, and hovering over it shows it whole. In grouped view, Detail sets how deep the outline goes (Phases, Tasks, Items), and the button beside it opens every group at once or closes them all down to the phases.

Importing a list of work

The Import work icon (Import tasks in Basic mode), right of Repeating tasks above the list, creates a task per row of a spreadsheet, under a project you choose once. It shows only to those who can create work items. See Importing from a spreadsheet; for a handful of lines, the task grid takes a paste directly.

Basic mode

When an administrator enables Basic mode, the page is called Tasks and everything you create is a task in one shared list. Types, grouping, the project and phase fields and dependencies are hidden. Nothing is deleted when the mode changes back. See Application configuration.
