Customers
Customers (side menu) is available when an administrator has enabled the Customers feature. Add new, Edit, delete and Export to spreadsheet depend on your permissions.
The list
The Fees and Fees value columns are shown only to users allowed to see financial information, and every custom field marked Visible in list gets a column.
The search box matches the name, type, account manager and the list-visible custom fields. Filters: State (Active / Inactive), Files (With files keeps only the customers that have at least one file attached), Customer group, Customer type, Account Manager, one picker per custom field marked Filter applies and Tags. Filters are remembered per user.
A customer
- Basic Information — a Company name, or a First name and Last name, plus the Customer type and tags. Code is an optional short reference of your own, such as an account number, of up to 20 characters: no two customers share one, and a code another customer already has is refused under the field. It is also the column an import fills, and the code an example project names when it cannot be added.
- Financial Information — the Customer group, the Fees type (Do not apply, Apply group fees when a group is selected, Hourly, Weekly, Biweekly, Monthly, Annually) and Fees value; with group fees, the group's own fees type and value are shown for reference, an Additional fees amount is charged on top in that same unit and the Total fees shown. A group that does not apply fees is flagged, since nothing is then charged for the customer. Group fees are invoiced to the group and additional fees to the customer — see Charges. Use the group's account manager or pick an Account Manager.
- Custom Fields — the fields your administrator defined; see Customer custom fields. Required fields must be filled before saving.
- Additional Information — Notes take formatting. An inactive customer is kept but no longer offered in selections.
- Files — documents attached to the customer; see Customer files. The section is shown on the customer's panel even while there are no files, so its edit button is always there to add the first one. It lists each folder with the number of files in it, then the files that are in no folder. Click a folder to see the names of its files.
The Work Items button in the header — and the same icon at the end of each row of the list — opens everything scheduled for the customer, as a list or on a calendar; see Customer work items.
Deleting a customer removes it and its contact persons permanently after confirmation. A customer that still has work items or files cannot be deleted: move the work items to another customer and delete the files first, or make the customer inactive instead. With files, the delete dialog says so and its Delete button stays disabled.
Importing and exporting the list
| Action | Where | Who sees it | What it does |
|---|---|---|---|
| Import customers | Administration menu, under Customers | administrators only | Opens the import wizard — see Importing from a spreadsheet. |
| Export to spreadsheet | button beside Add new | anyone with the export the customer list permission | Downloads the list you are looking at as a spreadsheet. |
The export contains exactly what the list is showing: the rows left by your search and filters, in the columns on screen — name, customer type, customer group, account manager, tags, the fee columns if you may see financial information, each custom field marked Visible in list, whether the customer is active, and the notes. Sort or filter the list first and the file follows.
It is not a file you can import back: it carries the list's columns, not the whole customer record (no code, contact details or member-since date).
Creating, editing and deleting a customer is recorded in the activity feed, where anyone with permission to open it can see who changed what and when. Fees are never recorded there.
