Customer files
The file manager appears in the Files section of a customer once the customer has been saved, and on its own page as Customer documents. Work items use the same manager on their Attachments tab. Every file you may see, from customers and work items alike, is also listed in the documents gallery.
Permissions
Anyone who can open the customer sees the file names. Opening or downloading needs the download files permission; uploading, deleting, renaming, moving, describing and folder management need the upload files permission.
Without the download files permission the manager opens as a list and stays there — the view switch is not offered, since tiles could show no previews. Clicking a file does nothing, and hovering one explains why: You don't have permissions to open this file.
Folders and files
- A folder only exists once a file is uploaded into it, and deleting a folder deletes all its files. There are no subfolders.
- Upload, or drop files anywhere on the manager. Files wait in a tray where you can remove
some before confirming. A file with the same name in the same folder replaces the existing one.
When the files do not fit in the storage of the plan, none of them
is uploaded and the message says how much is in use.
When an administrator has turned on Optimize images in the
configuration, the tray says so, and each picture is stored as
a smaller WebP instead of the original:
photo.jpgbecomesphoto.webp. Download always gives back the file as it is stored. Uploads and deletions alike are recorded against the customer or work item the files belong to, so they appear in the activity report and, for a work item, on its History tab. Deleting a folder is recorded once, under the folder's name. - Open shows PDF, video, audio and text inline; other types download. Move to… takes a destination folder or a new one; dragging the tile onto a folder does the same.
- Edit description adds a note to a file, up to 1000 characters. Its first line shows under the name in the list; hovering the notes icon beside the name shows it whole. The documents gallery search finds files by it.
- The view switch (Tiles, Small tiles, List) is offered when you may open files, and the manager opens in the view you last picked.
Limits
Each file may be at most the size set by the operator (20 MB by default) and a batch has a ceiling
too; the tray flags files that are over the limit. Executables, scripts, installers, disk images
and browser-executable documents (for example .exe, .bat, .js, .jar, .html) are refused.
