Projects

A project is the top-level container of work: Project → Phase (optional) → Task → Subtask (optional). If you just want a to-do list, create one project and add tasks directly.

The Projects page

Projects lists every project you can see; the one you are working in carries an Active badge.

  • Select makes a project your active project (Now working in …). The work items list, repeating tasks, Gantt chart, organizer and reports start from the active project; the board does not.
  • New Project opens the editor. Project names must be unique in the workspace; the comparison ignores case, accents and extra spaces.
  • AI companion drafts a whole project from a description; see AI companion.
  • Hide from my list, on a card or a grid row, takes a project out of your own project list and out of both project pickers. Hidden (n) shows what you hid.

Hiding a project from your list

Hiding is a personal preference: it changes only what you see. Nobody else is affected, and the project's work items keep appearing in the work items list, the board, reports and searches. Hiding shortens your project list; it does not take data away.

  • Hide a project from Projects with Hide from my list, and undo it in the Hidden (n) view with Show in my list.
  • You cannot hide the project you are working in — switch to another one first. Select on a hidden project puts it back in your list.
  • One project starts hidden for everyone: 000.B-TSK, which holds the tasks created in Basic mode. Show it the same way if you want to work in it; see Application mode.
  • Opening a link to an item in a project you hid asks whether to switch to it. Switch makes it your active project and puts it back in your list; Stay opens the item and leaves the project hidden.

To take a project away from everyone, see Archiving a project.

The project editor

Besides Summary, Description, Start Date, Due Date (the estimated completion date), Status, Assignee, the estimate tracker, the restriction and tags, a project has (the tracker's spent is the read-only total of the project's tasks; time is logged on the tasks):

  • a Project icon;
  • Cannot start before start date, which locks the status until that day;
  • Project Defaults — a customer group and customer that new items in the project inherit;
  • a panel listing the project's phases and tasks, with Add Work Item (available once the project is saved) and Remove Work Item. Items added there inherit the project's restriction, so under Only me the assignee is the project's owner and cannot be changed, and under a designated team only that team's members are offered.

New projects offer Set this project as the active one on save. Header buttons: Set as Active, Project options, AI companion and, for administrators, Archive project.

Project options

  • Clone Project with Schema only (structure without data: statuses, priorities, assignees and descriptions reset) or With all current data. Afterwards you can Set as active and start working on the copy.
  • Danger Zone → Delete Project removes the project with all its phases, tasks and subtasks; the project name has to be typed to confirm.

Cloning needs the create projects permission, deleting the delete projects permission, and both need edit rights on the project. Projects you can see but not manage show You can view this project but don't have permission to manage it.

Archiving a project (administrators)

Administrators can archive a finished project instead of deleting it. An archived project and all of its phases, tasks and subtasks leave the workspace: they disappear from project lists and pickers, the board, the Gantt chart, the organizer, reports and searches, and a link to any item inside one shows This project is archived. Nothing is deleted, and unarchiving brings everything back exactly as it was.

  • Archive and unarchive from the project editor header: Archive project, or Unarchive project on a project that is already archived. Both ask you to confirm.
  • While archived, the project is read-only for everyone, administrators included. The editor shows Archived on … This project is read-only for everyone until it is unarchived, and unarchiving is the only change that is accepted.
  • Archived projects are left out of every list for every user by default. Administrators find them under Archived (n) on Projects — the only route back to unarchiving one — where each carries an Archived badge with the date it was archived. Projects listed there offer neither Select nor Hide from my list.

This is not the same as the Archived status a work item can have. The status is a workflow value that anyone who can edit the item may set, and the item stays viewable; archiving a project is an administrator's access lock over the whole project.
