Export your data

What an export holds

Configuration → Export data makes a copy of everything the workspace holds: its settings, users, groups, teams, customers, tags, projects with their work items, comments, time spent and attachments, reports, and the files attached anywhere in it.

The export ignores per-item restrictions. Work items only one person or one team can see, and archived projects, are in it like everything else. Keep the files where only people allowed to see everything can open them.

Starting an export

Export the workspace starts it. The export runs on the server, and you can leave the page. Its progress shows in the list, section by section. When it ends you receive a notification with a link back to the page, and an email if you are away (a read-only workspace sends no emails).

A workspace runs one export at a time: Export the workspace is unavailable until it ends. The server runs the exports of all its workspaces one after another, so an export may show Waiting for a while before it starts.

An export can be made in a read-only workspace too.

Downloading

A finished export is one or more zip files. A large workspace is split into several: download every one, because together they are the whole workspace. The first file holds manifest.json, which lists every file and every section with the number of rows it holds.

If a download is cut short, the browser can resume it from where it stopped.

How long an export is kept

The files of an export are kept for seven days after it finished, then removed. A workspace keeps one finished export: when a new export finishes, the earlier one is removed at once. The list still shows a removed export, marked Removed, with the day it was removed. To download the data again, start a new export.

Who can export

Administrators, and the members of any group granted the Export all of the workspace's data permission. No group has it until an administrator grants it.

If an export fails, the list says why and nothing is kept. Start it again; if it fails again, contact your provider.
